Privacy policy

Hollis is a CRM and transaction management service for real estate agents and their teams. This policy explains what information Hollis collects, how it is used, who it is shared with, and the choices you have. Questions? Write to support@withhollis.com.
Information we collect
Information you give us
- Your account details: name, email address, phone number and the team (workspace) you belong to.
- What you and your team add to Hollis: contacts, pipeline opportunities, transactions, milestones, notes, tasks, documents you upload or forward to your Hollis address, and email templates.
- Emails you send through Hollis, including a copy of what each recipient received.
Information from connected email accounts
Connecting Gmail or Outlook is optional. If you connect one, Hollis receives access through Google or Microsoft with these permissions: reading your email, sending email on your behalf, and your email address. With that access, Hollis:
- Reads messages to and from the contacts in your workspace and records the sender, recipients, subject, date, a short preview and a link back to the message, so the conversation shows on that contact's timeline. Messages with people who aren't your contacts are skipped and not stored.
- Picks up documents: attachments on emails you receive from people on your active deals are copied into Hollis, along with their text, so you can file them on the right deal. This is on when you connect a mailbox, and you can turn it off in Settings at any time.
- Sends the emails you ask it to (deal updates and follow-ups) from your own address, and, when you turn on Autopilot for a kind of update, sends those automatically after a short window to undo.
Hollis stores the access token for your mailbox encrypted, and uses it only for the features above. Your email content is never sold, never used for advertising, never used to build profiles for anyone else, and never used to train AI models.
Information collected automatically
- Basic records of activity in your account (for example, who changed a deal and when) to keep your team's history and protect your account.
- When you email people from Hollis, whether the email was opened and which links were clicked, so you can see who has seen an update. A team owner or admin can turn this off in Settings.
- Cookies needed to keep you signed in and remember which team you're working in. Hollis does not use advertising cookies or third-party trackers.
How we use information
- To provide Hollis: show your contacts, deals and documents, send the emails you ask for, and remind you of what's due.
- To keep your account and data secure, and to fix problems.
- To contact you about your account, including the daily email you can turn off in Settings.
AI features
Some features use artificial intelligence. Reading the dates and parties from a signed contract, and working out which deal a document belongs to when nothing else says, are off until a team owner or admin turns on the contract reader. Drafting a follow-up message runs only when you ask for a draft. When one of these runs, the content needed for that task is sent to our AI provider, Anthropic, to produce the result: for example, the pages of a contract, the first pages of an attachment, or a contact's details and recent activity (which can include email previews) for a draft. Anthropic does not use this data to train its models. You review what the AI produced before it is saved or sent.
Google user data
Hollis's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular, data from your Google account is used only to provide the features you use in Hollis; it is not transferred to others except as needed to provide those features (as described under “Who we share information with”), to comply with law, or as part of a merger or acquisition with your notice; it is not used for advertising; and no person reads it unless you ask us to for support, it is needed for security or to comply with law, or it has been aggregated and made anonymous.
Who we share information with
Hollis does not sell personal information. We share it only:
- Within your team, as your team's permissions allow (for example, teammates on a deal see its documents).
- With the people you email through Hollis, and with your clients through the private tracker links you choose to share.
- With the service providers that run Hollis, who process data only on our behalf: Supabase (database, file storage and sign-in), Vercel (hosting), Resend (sending and receiving email), Anthropic (AI features, only when they run), and Google or Microsoft (when you connect your mailbox or sign in with them).
- When required by law, or to protect the rights and safety of our users and others.
Keeping and deleting information
- Your team's data is kept for as long as your team uses Hollis, so your deal records stay complete.
- Disconnecting your mailbox in Settings deletes its access token right away and stops all reading and sending. You can also remove Hollis's access from your Google or Microsoft account settings.
- To delete your account or your team's data, email support@withhollis.com. We delete it within 30 days, except where the law requires us to keep something longer.
Security
Data is encrypted in transit, mailbox access tokens are encrypted at rest, and access to each team's data is enforced in the database itself, so one team can never see another's. No system is perfectly secure, but we work to protect your information and will tell you promptly if a breach affects you.
Your choices
- Update your profile and notification settings in Settings.
- Connect or disconnect your mailbox, and turn document pick-up, Autopilot and the contract reader on or off.
- Ask for a copy of your information, or ask us to correct or delete it, by emailing support@withhollis.com.
Children
Hollis is for business use by adults and is not directed to anyone under 18.
Changes to this policy
If we make significant changes, we'll update the date above and let you know by email or in the app before they take effect.
